Conference Inclusions & FAQ's
The following is included as part of your registration:
Pharmacy Managers, Vision Centre Managers, Professional Services District Managers, Conference Speakers:

Return economy flights from your home city airport to / from Toronto Pearson International Airport, if applicable.

Two (2) hotel room nights at one of the conference hotels (as assigned by Walmart) on Monday March 18 and Tuesday March 20, 2024.

Ground transportation from Toronto Pearson International Airport to / from your assigned conference hotel, if applicable.

Reservation Changes and Cancellations:
Any changes to existing reservations must be made through PRIME / MGME (McVeigh). All changes that result in an increased cost to the company will go through the same approval process as a new travel request. Associates are reminded that changes made less than 7 days prior to travel are costly and could result in the cost being charged to the store's account. All cancellations must be reported to PRIME / MGME (McVeigh) via email (register@wmcanada-pcc.ca) immediately. If a reservation must be cancelled, District Managers and attendees have UP TO 24 HOURS after booking to cancel a reservation at no additional cost. Cancellations that are requested outside of this 24-hour period will place the ticket in a non-refundable status.

Travel & Expense Policy FAQ's
If I am local, am I able to request hotel accommodations for the duration of the conference?
All Pharmacy Managers, Vision Centre Managers and Professional Services District Managers and Walmart conference speakers are eligible to request hotel accommodations on Monday, March 18 and Tuesday, March 19, 2024.
If I am local, do I have to carpool to the hotel?
If you are driving to the Conference, it is the you make every effort to carpool to the designated airport hotel at the airport. The 2024 Walmart Canada PCC team will help coordinate this.
If I am not a local, do I have to carpool to and from my home airport?
It is requested that you make every effort to carpool to and from your home airport. The 2024 Walmart Canada PCC team will help coordinate this.
Can I expense mileage?
Yes. Expenses related to the use of an associate's own vehicle will be reimbursed. As per Travel Policy, only those kilometres that exceed an associate's regular travel to their store may be expensed. If carpooling, only the associate driving can claim mileage.
Can I expense parking at the hotel?
Self-parking at the hotel is included as part of your registration. Please note that if you choose valet parking, it will not be covered, and you will not be reimbursed.
Can I have my own guest room?
Yes. Hotel accommodations rooms provided to eligible associates at the 2024 Walmart Canada Patient Care Conference are based on single occupancy.
Can I bring a guest to stay with me at the Conference Hotel?
No. The 2024 Walmart Canada Patient Care Conference is a business event, therefore guests are not allowed.
Will my hotel incidentals be covered?
No. You will be asked for a credit card when you check-in at the hotel. You are responsible for covering any incidental charges, such as room service, movies, etc. You will not be reimbursed for these charges.
Can I expense meals on my travel days?
Yes. You will be reimbursed for the cost of eligible meals personally incurred while traveling (to and from the conference) as per the Walmart Travel Policy.
How much can I expense for meals?
Please refer to the Walmart Travel Policy.
If I opt out of the organized dinner, can I expense a meal?
No. Attendance at the dinner evening events are mandatory.
Do I require receipts to be reimbursed?
Yes. Original receipts must be provided for all expenses. Itemized receipts are required for meals. Alcohol will not be reimbursed.
Where do I submit my expenses?
Eligible expenses must be submitted through Walmart's T&E portal. Please refer to Walmart's Travel and Expense Policy on Wire for details on reimbursement.
